Every grant expense against its budget line — and the donor's financial report ready from the same records

For NNLEs with one or several grant projects: each project has its budget by line and period, expenses are recorded with invoices, contracts and payment proof, spending and remaining budget are shown per line, and the financial report is prepared in the format the donor asks for.

Example (fictional data)

Tbilisi NGO with two grant projects from different donors and a team of seven. Each salary, rent payment and training cost is recorded against its project and budget line, with the invoice and bank statement attached. Before the quarterly report, the director sees that one line is 14% over budget and moves costs in time; the report is ready the same afternoon.

How it works

Non-profit organisations in Georgia that run donor-funded projects keep two kinds of accounts at once: the organisation's own bookkeeping, and the accounts of each project, which the donor checks against the approved budget. Every expense has to be assigned to a project and a budget line, and backed by documents.

For a small NGO this is often done in spreadsheets. Each project has its own file, expenses are copied from the bank statement, invoices are kept in folders, and before every report someone spends days matching lines, finding missing documents and checking whether any line is over budget.

The software keeps project accounting in one place. For each project you enter the approved budget by line and reporting period, the donor's currency and the exchange rate rules the donor requires.

Every expense is recorded with its project, budget line and date, and the supporting documents are attached: invoice, contract, act of acceptance, payment order, bank statement. Expenses shared between projects, such as rent or the accountant's salary, are split by the shares you set.

At any time you see what has been spent and what remains on each line of each project. When a line approaches its limit or goes over the allowed variance, it is flagged, so you can discuss a budget reallocation with the donor before the report, not after.

When the reporting period ends, the financial report is prepared from the same records: spending by budget line, comparison with budget, variances and the list of supporting documents. The format follows what the donor asks for, and can be exported for the donor's own template.

Missing documents are listed before the report: expenses without an invoice, payments without proof, contracts without an act. You fix the gaps while there is still time.

If the organisation has several projects from different donors, each one keeps its own budget, currency and reporting periods, and the director sees all of them together: how much each project has spent, and where the organisation's own funds were used.

For audits, all expenses with their documents can be exported for a project or a period, so the auditor gets a complete file instead of a stack of folders.

The accountant, the project manager and the director each see what they need. Every entry and change is recorded with date and name.

Getting started takes an afternoon: your projects, their budgets and the expenses so far, imported from a spreadsheet. It works in the browser, with nothing to install.

The software is built for non-profit organisations in Georgia with grant projects. It is in preparation: we are checking whether organisations need it before it is built. The organisation remains responsible for its accounts, tax filings and reports to donors.
